Job Description – Human Resources Admin
This is a contract for 12 months with no guarantee to extend/convert
Responsibilties:
Workforce Data Update & Process Tracking:
- Carefully maintain and update people-related data to reflect current progress, ensuring all personnel records consistently match actual conditions.
Overseas Assignment Procedure Tracking:
- Process Tracking & Communication: Manage the end-to-end tracking of employee extensions and repatriation processes, promptly notifying all stakeholders of any changes in personnel status.
- Proactive Follow-up: Proactively communicate with managers and employees to remind managers and respective HRBPs of pending approvals. Provide clear updates on current approval statuses and estimated timelines for subsequent process steps.
- Overseas Assignment Coordination: Serve as the primary point of contact for employees undergoing extensions or repatriation; address policy-based inquiries, track internal job search progress, and coordinate with site HRBPs/People Partners to initiate necessary sign-off workflows.
- Support Communication Session: Coordinate administrative logistics for employee communication meetings, including scheduling, venue booking, conduct pre-meeting equipment checks, and attendance tracking as well as on-site needed
Organizational Change & Approval Tracking:
- Initiate and track organizational and personnel change approval flow. Proactively following up with relevant managers and stakeholders to ensure sign-offs are completed accurately and on time.
Load Bereavement Data: Accurately process and load bereavement data into the system.
Employment Verification (EV): Prepare, verify, and issue and send Employment Verification (EV) letters for current and former employees upon request.
Qualifications
- Associate degree; degree in Human Resources, Administration, or a related field preferred
- 0–3 years of progressive experience in workforce analytics or program management
- Demonstrated capability in workforce reporting, data analysis, and program/project tracking
- Advanced proficiency in Microsoft Excel and other Microsoft Office applications (or Microsoft Office Suite)
- Strong cross-functional coordination and communication skills
- Exceptional attention to detail with a commitment to data accuracy
- Bilingual proficiency in English and Mandarin
Work Location: Phoenix, AZ. This position requires full-time on-site presence. Training Location: Phoenix, AZ
