The Talent Acquisition System Admin supports the infrastructure, systems, analytics, and day-to-day operations of the Talent Acquisition function. This is a newly created role on a small, agile team, and the successful candidate must be comfortable shifting priorities as the team’s needs evolve. The immediate priority is partnering with HQ (Taiwan) to launch a new Applicant Tracking System (ATS) in Arizona, alongside providing broad administrative and program support.

Core Systems & Analytics Responsibilities

Recruiting Reporting & Data Analysis

  • Build and Maintain Reporting: Compile, build, and analyze recruiting reports and dashboards, including recruiter and recruiting KPIs (e.g., hiring events, hiring quality, fulfillment status, and candidate/manager experience). Ensure all data consistently reflects actual conditions.
  • Data Integrity: Carefully maintain and update recruiting-related data to reflect current progress, surfacing trends and insights that inform hiring decisions.

Applicant Tracking System (ATS) Management

  • System Administration: Administer the ATS, including collecting internal needs, partnering with IT teams (Arizona and Taiwan) on system enhancements and integrations, and troubleshooting immediate user needs.
  • ATS Launch (Current Priority): Partner closely with HQ (Taiwan) to support the end-to-end launch of a new ATS in Arizona, tracking milestones and coordinating across regions and time zones.
  • Talent Pool & Change Management: Manage talent pool data and lead change management with the business to drive adoption of new processes and systems.

HR AI Tool Management

  • User Support & Solutions: Manage HR AI tools by collecting internal needs, consulting with users on current issues, and proposing practical solutions.

Candidate Evaluation Tools

  • Assessment Management: Manage candidate evaluation tools, including personality assessments, and evaluate their effectiveness (e.g., correlation to on-the-job performance).

Systems, Vendors & Stakeholder Management

  • System Evaluation: Manage every system the Talent Acquisition team uses or requires, including evaluating new systems and platforms (e.g., surveying and comparing options).
  • Vendor Management: Maintain and manage relationships with external vendors.
  • Cross-Functional Collaboration: Collaborate with internal stakeholders such as Procurement, IT, and Security.
  • Infrastructure Support: Own and support infrastructure-related tasks for the Talent Acquisition team as they arise.

Program & Administrative Support

  • Contract & Vendor Administration: Handle contracts and coordinate with external vendors and internal stakeholders through the full life cycle.
  • Status & Project Tracking: Track the status of projects and deliverables (e.g., survey collection, system rollouts), proactively following up with stakeholders to keep items on schedule.
  • Meeting Support: Take clear, accurate meeting minutes; coordinate scheduling, venue booking, pre-meeting equipment checks, and on-site logistics as needed.
  • Proactive Follow-up & Communication: Provide clear updates on current statuses and estimated timelines, proactively reminding managers and stakeholders of pending approvals and next steps.
  • Approval Tracking: Initiate and track approval workflows, ensuring sign-offs are completed accurately and on time.

Qualifications

  • Associate degree; degree in Human Resources, Administration, Business, or a related field preferred
  • 0–3 years of progressive experience in administration, workforce analytics, or program management
  • Demonstrated administrative experience with strong organization and follow-through
  • Some experience in data analysis (e.g., building or interpreting reports and KPIs)
  • Exceptional attention to detail with a commitment to data accuracy
  • Highly disciplined, with excellent critical thinking and problem-solving skills
  • Excellent at following instructions and executing processes precisely
  • Agile and adaptable, comfortable shifting priorities in a small, fast-moving team
  • Advanced proficiency in Microsoft Excel and the broader Microsoft Office Suite
  • Strong cross-functional coordination and communication skills
  • Some knowledge or experience in recruiting preferred
  • Some project management (PM) experience preferred
  • Bilingual proficiency in English and Mandarin preferred

Work Location: Phoenix, AZ. This position requires full-time on-site presence. Training Location: Phoenix, AZ
