Office Operations Administrator - North America Software Center (NASC)

TSMC IT North America Software Center (NASC) is a growing software engineering organization supporting TSMC's global IT and technology initiatives. As NASC continues to expand its team and operations, we are seeking an experienced and highly capable Office Operations Administrator to help establish, manage, and continuously improve the day-to-day business operations of our growing organization.

This is not a traditional administrative assistant or secretarial position. The Office Operations Administrator will serve as a key operational partner to NASC leadership and employees, with responsibilities spanning office administration, HR coordination, finance and accounting support, procurement, facilities, and cross-regional business operations.

Who We're Looking For:

The ideal candidate is organized, resourceful, detail-oriented, and comfortable working independently in a fast-growing environment. This person should be able to manage multiple operational responsibilities simultaneously while coordinating effectively with NASC leadership, employees, TSMC North America organizations, external vendors, and TSMC headquarters in Taiwan.

As NASC continues to grow, this role will have the opportunity to help develop and improve the operational processes and infrastructure needed to support the organization at scale.

Key Responsibilities:

Office Administration & Operations

  • Manage day-to-day administrative and operational activities for the NASC office.

  • Support the establishment, expansion, and ongoing operation of the NASC office, including coordination with building management, facilities teams, and external service providers.

  • Coordinate office supplies, equipment, services, access, workspace needs, and other office resources.

  • Serve as a primary point of contact for office-related requests and operational issues.

  • Coordinate meetings, leadership visits, team events, workshops, and other organizational activities.

  • Support travel arrangements and related logistics for NASC leadership, employees, and visiting colleagues as needed.

  • Maintain appropriate administrative records, documentation, and operational procedures.

  • Identify opportunities to streamline administrative processes and improve office efficiency.

HR & People Operations Support

  • Partner with TSMC HR and recruiting teams to support NASC hiring and employee onboarding activities.

  • Coordinate new-hire onboarding logistics, including workspace preparation, equipment, system/access requests, orientation schedules, and related activities.

  • Support employee offboarding and internal employee changes in coordination with HR and IT.

  • Assist with interview scheduling, candidate visits, recruiting events, and other recruiting logistics.

  • Maintain appropriate local employee and organizational records in accordance with company policies.

  • Help coordinate employee engagement activities, team events, training sessions, and organizational communications.

  • Serve as a local operational liaison between NASC employees and relevant HR teams while ensuring that HR policies and employee matters remain under the appropriate HR ownership.

Finance & Accounting Support

  • Support routine financial administration for NASC operations.

  • Coordinate invoice processing, expense documentation, reimbursements, and payment-related workflows with the appropriate Finance and Accounting teams.

  • Track office and operational expenditures and maintain accurate supporting documentation.

  • Assist NASC leadership with basic budget tracking, expense reporting, and operational cost management.

  • Coordinate with Finance and Accounting teams to ensure transactions are processed accurately and in accordance with company policies.

  • Support periodic financial reporting and reconciliation activities as needed.

Procurement & Vendor Management

  • Coordinate purchasing activities for office equipment, IT-related items, services, supplies, and other operational needs.

  • Prepare and track purchase requests, purchase orders, approvals, invoices, and related procurement documentation.

  • Work with TSMC procurement teams and vendors to obtain quotations, coordinate purchases, and track deliveries.

  • Maintain vendor information and assist with vendor onboarding and ongoing vendor coordination.

  • Track purchasing status from initial request through delivery and payment.

  • Help ensure procurement activities comply with TSMC policies, approval processes, and budget requirements.

Facilities & Office Expansion

  • Support NASC office expansion, relocation, and workspace planning activities.

  • Coordinate with facilities, IT infrastructure teams, building management, contractors, and vendors on office-related projects.

  • Help manage office furniture, equipment, conference rooms, employee workspaces, and common areas.

  • Coordinate building access, security badges, parking, and other employee facility needs.

  • Help ensure the office provides a professional, efficient, safe, and welcoming working environment.

Cross-Regional Coordination

  • Serve as an operational coordination point between NASC and relevant TSMC organizations in North America and Taiwan.

  • Coordinate meetings, documentation, approvals, and follow-up activities involving multiple TSMC organizations.

  • Support visiting executives, managers, engineers, and other colleagues from TSMC headquarters and global locations.

  • Help bridge differences in time zones, processes, and working practices between North America and Taiwan teams.

  • Communicate clearly and professionally across different organizational levels and cultural environments.

Minimum Qualifications

  • Bachelor's degree in Business Administration, Management, Human Resources, Accounting, Finance, or a related field, or equivalent professional experience.

  • 5+ years of relevant professional experience in office administration, business operations, HR operations, finance/accounting support, procurement, or a related function.

  • Demonstrated experience managing multiple administrative and operational responsibilities in a professional environment.

  • Strong organizational skills with excellent attention to detail and follow-through.

  • Ability to prioritize and manage multiple tasks and projects simultaneously.

  • Experience working with purchasing, invoices, expenses, vendors, or other financial/administrative processes.

  • Strong written and verbal communication skills.

  • Strong interpersonal skills and ability to work effectively with employees, managers, executives, vendors, and cross-functional teams.

  • Ability to work independently, exercise sound judgment, and proactively identify and resolve operational issues.

  • High degree of professionalism, discretion, and ability to appropriately handle confidential or sensitive business information.

  • Proficiency with Microsoft Office applications, including Outlook, Excel, Word, PowerPoint, and Teams.

Preferred Qualifications

  • Experience supporting a growing or newly established organization, office, or business unit.

  • Experience in a technology, semiconductor, engineering, or multinational corporate environment.

  • Experience supporting multiple business functions such as Administration, HR, Finance, Procurement, and Facilities.

  • Experience working with globally distributed teams and international headquarters organizations.

  • Familiarity with enterprise procurement, expense management, HR, or ERP systems.

  • Experience coordinating office expansion, relocation, or facilities projects.

  • Mandarin Chinese language skills are a plus (not required),  particularly for communication and coordination with TSMC headquarters and teams in Taiwan.

  • Experience working across U.S. and Asian business cultures is a plus.

What Success Looks Like

The successful Office Operations Administrator will become a trusted operational partner for the NASC organization. This individual will help ensure that employees and leadership can focus on engineering and business priorities while office operations, onboarding, purchasing, financial administration, facilities, and cross-regional coordination run smoothly.

As NASC continues to grow, the Office Operations Administrator will play an important role in building scalable operational processes rather than simply maintaining existing ones.
