JASM_HR_Business Partner (BP) Mobility Administrative Assistant (Contractor)

Role Overview

JASM HR Mobility team is seeking a passionate and professional HR Mobility contractor to join us. In this position, you will play a key role in assisting employees to smoothly complete relocation and assignment processes.

Your main responsibilities include assisting with administrative procedures for employee relocation services, executing internal procedures such as system reimbursement, and closely coordinating with relevant stakeholders. We expect you to create an excellent and smooth relocation and overseas living experience for employees and their families through friendly and efficient communication.

 

Key Responsibilities

1. Relocation & Assignment Support

• Process Execution: Collaborate closely with cross-departmental teams to efficiently execute the relevant procedures for employee relocation and assignments.

• Document Submission: Prepare, compile, and submit relocation-related reports and administrative documents in accordance with administrative and regulatory procedures.

• System Reimbursement: Assist with internal system reimbursement and settlement procedures for overseas assignments and relocation projects.

• Data Management: Be responsible for data collection and system information maintenance for relocation projects, and perform basic data analysis to continuously optimize operational processes.

 

2. Employee Consultation & Support

• Primary Contact Point: Serve as the main contact point for employees on overseas assignments and relocations, providing timely and professional consultation and support throughout the entire assignment period.

• Policy and Resource Explanation: Clearly explain relocation preparation items, company welfare policies, relevant policies, and available resources to help employees quickly adapt to the new environment.

 

3. Vendor & External Agency Coordination

• External Communication: Maintain good communication with relocation-related vendors and government agencies (such as visa processing, resident registration, and driver's license conversion) to ensure smooth services.

• Service Quality Control: Regularly review the service quality and performance of vendors, conduct internal and external communication and coordination to ensure cost-effectiveness and continuously improve employee satisfaction.

 

4. Relocation Support & Logistics Coordination

• Overall Project Execution: Be responsible for the overall execution and improvement of the relocation process, including check-in for individuals or groups and related logistics arrangements.

• Cross-Department Collaboration: Collaborate closely with cross-functional teams to ensure that employees and their families can smoothly complete relocation, settlement, and adaptation to life.

 

Qualifications

• Educational Background: Bachelor's degree (or higher) in Human Resources, Business Administration, or related fields.

• Work Experience:

   Have at least 2 years of work experience in Human Resources or process management in large enterprises.

   Have practical experience in Human Resources, with experience in employee relocation (Relocation) or assignment management being a plus.

• Professional Skills:

   Possess excellent organizational planning, detail management, and project execution abilities.

   Experience in vendor collaboration and management is a plus.

   Proficient in operating Microsoft Office software; advanced Excel skills (such as data processing and analysis) and PowerPoint presentation creation are preferred.

• Soft Skills:

   Possess high patience, excellent communication and coordination skills, and interpersonal interaction abilities.

   Have a keen sense for numbers, with a meticulous and responsible work attitude.

• Language Ability:

   Proficiency in both Mandarin and Japanese (listening, speaking, reading, and writing) is a must.

   Candidates with good English communication and writing abilities will be given priority.


Working Condition

1. Location - (Immediately after hiring) 4106-1 Haramizu, Kikuyou-machi, Kikuchi-gun, Kumamoto, 869-1102  (Scope of Change) Location determined by the Company
2. Working Days & Hours - 8:30~17:30(depending on the situation,may be required to work shifts (including night shift), work on holidays In the future).
3. Term of employment: Fixed

・Contract renewal: Yes (Reason: To be determined based on work performance)
・Limited number of contract renewal: Yes(Maximum total contract period: 3 years / Maximum number of contract renewal: 2 time)
4. Commuting allowance: Actual expenses (maximum 50,000 yen/month), Overtime Pay.

5. Holiday - Saturdays, Sundays & Holidays, Vacation regulations:GW vacation, Year-end and New Year vacations
